To process a cancellation, your membership account must be up to date and not in arrears.
If you cancel your Direct Debit, this will stop your access immediately. Please do not cancel your Direct Debit until we have advised you to do so.
Monthly Memberships (Non-Contract)
- Applies to all junior and adult memberships.
- 30 days’ written notice is required to cancel.
- Notice must be submitted by emailing contact.centre@kal.org.uk or by completing the Cancellation Form
Contract Membership Cancellation (Out of Contract)
- Once you have fulfilled your minimum contract period, the cancellation process is the same as outlined above for monthly memberships.
In-Contract Membership Cancellation
To remain fair to all members, particularly those who have chosen our more flexible but higher-priced monthly membership, KAL operates a strict in-contract cancellation process. When joining KAL, members select the membership option that best suits their needs: either a flexible monthly membership, which can be cancelled with 30 days’ notice, or a lower-cost 12-month contract membership, which requires a commitment to 12 monthly payments.
A contract membership is a legally binding agreement and can only be considered for early cancellation under one of the following contractual grounds:
- Medical reasons.
- Redundancy.
- Permanent relocation to an address more than 15 miles from any KAL centre.
To ensure fairness and consistency for all members, the cancellation process is predetermined and the required supporting documentation must be provided before a request can be considered. The documentation requirements are mandatory and cannot be varied or waived by members of staff.
In addition, the membership account must be up to date with no outstanding arrears, and an active Direct Debit must remain in place throughout the review process. Requests for early contract cancellation will not be considered where the account is in arrears or the Direct Debit has been cancelled.
Once all required documentation has been received, KAL will review the information and confirm whether the request meets the contractual cancellation criteria. Members should continue to make payments until they have received written confirmation that their early contract cancellation has been approved. Only once this confirmation has been provided should the Direct Debit be cancelled.
Medical
If you develop a medical condition, independently verified in writing by your GP, which prevents you from using the centres on a regular, ongoing basis:
Required documentation:
- An official letter signed by your GP on headed paper confirming:
- You are medically unfit to exercise for a period of more than 3 months; and
- The condition did not exist prior to joining KAL or has worsened since joining.
- If your GP advises that your condition will last 3 months or less, you may request to freeze your membership at no additional charge, for up to 3 months per calendar year.
Relocation (Left Area)
If you permanently move to an address more than 15 miles from any KAL centre:
Required documentation:
- Two forms of evidence from the same official organisation (preferably Council Tax; HMRC documents are also accepted).
- One document showing your previous address and one showing your new address. The bill from your old address should detail it is your final one as you have left the property .
- Both documents must be dated within 3 months of each other and submitted in a single email.
Financial Hardship
- If your financial situation has materially worsened since entering into the membership contract, making it unaffordable:
- Initially we will arrange to freeze your membership for up to 3 months and your financial situation will then be reviewed after this period. If your financial situation has not changed then you:-
- You must provide supporting official documentary evidence showing that your financial situation has materially worsened compared to when you joined, to the extent that you are no longer able to afford your membership fees.
- The change in circumstances must be beyond your control and not the result of a voluntary decision.
Redundancy claims require: (After 3 months freeze)
- An official letter from your employer confirming redundancy.
- Your P45 from the same employer.
- Both documents must be submitted together in one email.
Important Information
- We are unable to process a cancellation until all required documentation has been received, verified, and accepted.
- Only original postal documents will be accepted (no PDFs, screenshots, or online printouts).
- To process a cancellation, your membership account must be up to date and not in arrears with a Live Direct Debit.

Debt
If your account remains in debt for more than 30 days, it will be referred to our external debt collection agency. Additional fees may be added by the agency to recover the outstanding balance.
- Any outstanding debt will remain on the membership until it is fully settled.
- You will not be permitted to rejoin until the full balance has been paid.
